Documents, Risks, Issues and Discussion Forum
The Project Management experience in PSNext goes beyond using scheduling tools and resource analysis. Any associated documents, risks, issues and discussion forums are managed in a dedicated 'Collaboration' component. Users are able to easily access all project related information from inside the project schedule.
DOCUMENT MANAGEMENT
Any document type (ie. electronic file) may be stored inside PSNext, such as word processing, spreadsheets, presentations, CAD, images, etc.
When opening any document from inside PSNext, users are assured that they are viewing the latest version of that document, thus eliminating embarrassing and expensive mistakes when using an older version of a document.
In addition, security prevents documents from being modified by unauthorised personnel, thus maintaining document integrity.
When checking out a document to make changes, history is automatically kept showing who, what and when.
Configurability
An unlimited number of document related fields may be created describing the document’s properties. Fields may be displayed in a configurable form to be completed by users with the necessary permissions.
Documents may be optionally linked fully featured workflow - described below.
RISK MANAGEMENT
A comprehensive risk management module is included with PSNext. This includes all fields that are usually needed for risk management, such as Liklyhood, Severity, Actions steps, Mitigation, etc. This is fully configurable by the user.
In addition, e-mail triggers will inform various parties of risks they should be aware off and if the risk has been addressed.
Risks are easily accessed from inside the schedule.
Risk is also subject to workflow as discussed lower down.
ISSUES MANAGEMENT
Any raised issue that needs to be resolved can be linked to a project or task. A due date and a person responsible list ensure that the issue is followed up and resolved. Users can easily consult the related issues of a project from Reports, the Planner or through their personal My Work component.
CUSTOM WORKFLOWS
Fully fledged workflows allow documents, risks or issues to 'flow' through the organisation.
A graphic workflow designer easily creates the desired workflow for a particular document, risk or issue type.
Each step in the workflow will trigger e-mail to selected recipients for notification or ask for approval.
Each step may also use a different form to input data or be used for approval.
Rules control the workflow so that the item follows the desired route.
FORUMS

PSNext provides the ability to create as many forums as needed. A discussion thread can include text as well as file attachments. Ideal for team members to discuss technical aspects of the project or task with full record kept of the discussion.
Permissions control the functions available to a user when working within the forums (reading, posting, forum creating, or moderating).
